Party Tent Size Guide: Square Feet per Guest

What size party tent you need: square feet per guest for cocktail, banquet and round-table seating, dance floors and buffets, plus weights, fire ratings and permits.

Quick answer

Allow about 6 to 8 square feet per guest for standing cocktails, 10 to 12 for rectangular banquet seating and 12 to 15 for round tables, then add space for the dance floor, buffet, bar and DJ. A 20 × 40 ft tent (800 sq ft) seats about 55 to 65 guests at round tables. Weight every leg, choose fabric rated to CPAI-84, and check whether your city requires a permit.

A tent that is too small crowds guests against the walls; one that is too large costs more and feels empty. Work from guest count and layout.

Space per guest

Layout Square feet per guest
Standing cocktail 6 to 8
Theater-style ceremony seating 6 to 8
Rectangular banquet tables 10 to 12
Round tables 12 to 15

Example tent sizes for round-table seating

Tent Area Seated guests
20 × 20 ft 400 sq ft 25 to 32
20 × 30 ft 600 sq ft 40 to 50
20 × 40 ft 800 sq ft 55 to 65
30 × 40 ft 1,200 sq ft 80 to 100
40 × 60 ft 2,400 sq ft 160 to 200

Pop-up canopies vs party tents

Pop-up canopies (usually 10 × 10 ft) are for shade and light rain, not weather. Frame and pole tents are staked or ballasted and handle more wind. Never leave a canopy up in strong wind.

Safety and permits

  • Weight or stake every leg according to the maker’s instructions.
  • Choose fabric rated to CPAI-84 or NFPA 701 where required.
  • Under the International Fire Code used in many US jurisdictions, tents over 400 sq ft and open canopies over 700 sq ft often need a permit; local rules vary.
  • Keep heaters, cooking and lighting to the maker’s clearance guidance.

Common questions

What size tent do I need for 100 guests?

About 1,200 to 1,500 sq ft for seated round tables, such as a 30 × 40 or 30 × 50 tent, before adding a dance floor.

How much weight does a canopy need?

A common guideline is at least 40 pounds per leg for pop-up canopies. Follow the maker's ballast instructions, and take canopies down in high wind.

Do I need a permit for a party tent?

Often for larger tents. Many US jurisdictions follow the International Fire Code, which requires permits above set sizes. Ask your local fire marshal.

What does CPAI-84 mean on a tent?

It is a flame-resistance standard for tent fabrics that many fire codes and venues require.
